Recruitment Agencies

Payrolls that process high volumes with high staff turnover rates are typical of the recruitment industry.

Despite the fluctuations, our experience of the HR and recruitment sector has allowed us to produce a flexible, all encompassing service at a fixed price.

Recruitment agency payroll clients are charged only for those employees paid within the period, at an agreed rate per payslip, so you are not paying for people ‘on your books’ but not working and so generating income for your business.

Just some of the specific issues our recruitment agency payroll clients face include:

  • High staff turnover
  • Large volumes of weekly employees
  • Incredibly tight timescales
  • Foreign workers
  • Limited employee information

Straightforward, inclusive pricing

Our price allows for your recruitment business to accurately budget and the price we quote has no extras or annual fees.

Our basic charge includes –

  • Setup of new employees with no extra charges
  • Payment direct into employees bank accounts via our BACS system
  • Process Leavers and production of forms P45
  • Preparation of End of Year Returns P35 and P14/P60
  • Supply Security payslips
  • Payroll reports

We can even pressure seal and post your employees payslips direct to your employees or provide ePayslips that they can view online or via our ePayslip App.

Solicitors and Professionals Payrolls

Providing payroll services for professional services firms such as solicitors, lawyers, accountants and surveyors is challenging.

Professional services businesses are normally extremely sensitive about their payroll and do not like to relinquish control to external providers.

While payrolls are not generally complex, the payroll is often sensitive, with frequent changes as employees move through the professional ranks.

There is also the expectation of extremely high standards of service as the professional services companies would provide to their own.

This is where we have a competitive advantage when acting for solicitor payrolls and other professional service payrolls. Our pedigree is via a top 60 firm of Chartered Accountants, Forrester Boyd, ourselves.

We currently handle the payrolls for

  • Solicitors
  • Accountants
  • Architects
  • Consultants
  • Finance providers
  • Surveyors
  • Estate agents

We now have over 200 legal and professional service payroll clients including two top 60 legal practice payrolls.

"A very professional and efficient organisation."

The Payroll Process

What's the Process?

So you may be convinced about the benefits of outsourcing your payroll, but what about the ‘nitty gritty’ of actually moving your payroll across to Dataplan, either from your own business or an existing outsourcing bureau?

Wherever you payroll is currently handled, the handover process does not need to be stressful and we have a step by step process to ensure that your payroll is transferred accurately and within your payroll deadlines.

  1. Dedicated transfer team - we appoint a dedicated project team to help you through the process. Their job is to take you through each stage, manage all of your payroll needs and settle you in.
  2. Liaise with provider – we will contact your existing provider to get the information we need.
  3. Implementation Guide – we will issue you with an Implementation Guide which is a comprehensive document that will ‘handhold’ you through the transfer and implementation process. This guide also lets you know all the information we need to ensure a smooth transition.
  4. Payroll accuracy – we often find that there are existing errors in payrolls when we take them over. At the initial stages of set-up our payroll team will be working with you to ensure the highest level of accuracy from the outset.
  5. Speed of transfer – with 40 years of experience in managing payrolls, we have the experience to ensure the transfer and setting up of your first payroll is quick and efficient.
  6. Handling queries – once you have made the decision to outsource your payroll, the last thing you want is to have to handle any queries from staff. Dataplan will help you answer employee queries.
  7. Smoothing the transfer – in order to help you and your staff with the transition we can offer your staff a drop-in-day to go through any payroll issues they may have.
  8. Honest pricing – the price we quote is the price you will pay. So no nasty surprises at year end.

Payroll Integration

All businesses have systems for dealing with payroll and payroll integration is a key requirement for many businesses.

These could range from accounts software to HR and time and attendance packages and when looking to outsource payroll, integration with existing systems is often an important factor.

Dataplan’s integration works in one of two 2 ways.

1) Payroll integration - on the way in

The flexible way in which we operate means that we can adapt to your existing systems. If you can get the information out of your existing systems then we can work with it. We take advantage of our own Microsoft Certified company to develop sophisticated conversion and filter programs to adapt any information you send us so that we can import the details into our payroll software ready for processing.

2) Payroll integration - on the way out

Our SQL based payroll system lets us extract complex information into CSV files for reading and manipulating. Whether you are looking to automate journal entries to import into your accounts system or HR systems, we can provide a solution.

Flexibility and technology are the key here. You tell us what your payroll integration needs are and we'll work with you to achieve them.

Payroll Confidentiality

One of the initial worries businesses often have when considering outsourcing their payroll is the confidentiality of their payroll data.

Fear that data sent and stored outside of their organisations could be vulnerable to access or loss if systems crashed or disasters happened.

Payroll is an extremely sensitive area and payroll confidentiality something we take very seriously.

  • All of our people are closely vetted before we employ them. Our people are also required to complete regular fit and proper and confidentiality processes ensuring that confidentiality is maintained
  • Our systems are checked, double checked and regularly tested to ensure that our security is up to date and appropriate for dealing with sensitive payroll data.
  • We are of course subject to the Data Protection Act and we are subject to external testing as part of the BACS accreditation process.
  • Our secure online payroll portal ePaysafe uses a secure 256 bit encrypted environment so no data is sent via unsecure channels such as email.
  • We have a triple level backup system which is second to none within the payroll field.
  • Our business continuity (disaster recovery) programme ensures that in the event of a disaster such as fire, flood or power failures we can be up and running within three hours.

Management Information

Payroll is about paying your staff the right amount on time. Well this is certainly true, but what other benefits could a well run payroll give your business?

The management information generated by your payroll can give you rich and timely information into your business. The data on absence, for example can highlight potential health and morale problems. Whether this is an individual or across a whole work section, the information can alert management and enable early intervention to address the problem. Similarly, examination of staff numbers, deployment and costs can identify areas of over- or under-staffing or under-performance. It can reveal a need for, or over-reliance on, overtime or agency staff. This allows informed decisions on recruitment, training, or re-deployment.

Tailored made reporting as standard

As you would expect from a professional payroll outsourcer, Dataplan Payroll will automatically send you a comprehensive set of reports to approve before each payroll is finalised.

That’s fine, but we like to take it one stage further and work with our clients to put together bespoke management reports containing the information they most need to help manage their business.

That could include –

  • Cost Centre / departmental reporting
  • Breakdown of starters and leaver information
  • Payroll variance reports and exceptions
  • Bradford factor reporting
  • Holiday pay information
  • SMP / SSP reports
  • Payroll across period reports
  • Year to date information

This list is by no way definitive, however. If we hold the information on your payroll, we can provide payroll management information on it.

And, through our ePaysafe online payroll system you can have secure access to your management information 24/7, whenever you need it.
